Event Tier Levels
All events at the CVPA are categorized into one of four pricing tiers: Comercial/Nonprofit, Arlington Community, AISD Supporting Partner, and AISD Student and Staff. Each is designed with a rental pricing model based on the type of event being hosted. The CVPA Director will determine the event pricing tier based on information provided by clients. The chart below is for general information and not exhaustive of all potential events types.

Venue Rental Rates
Venue rental rates for Commercial/Nonprofit and Arlington Community Support Event tiers include an event coordinator. Rentals under the AISD Supporting Event tier will be billed hourly for the event coordinator. Events held in the Concert Hall and/or Theater more than three days may be eligible for a discounted rental rate in supporting spaces at the discretion of the CVPA Director

Scheduling Procedure
The CVPA event scheduling timeline follows the academic school year calendar (July-June). The general request window opens for all rental tiers on July 1st for events taking place in the following calendar year. (Example: July 1st, 2025 = July 2026 through June 2027 booking request open). Arlington ISD entities have access to the scheduling calendar two months before opening the general request window. AISD event requests will be considered up to one month before opening the general request window. Requests for dates beyond one academic school year may be considered; however, they cannot be guaranteed until the applicable general request window opens.
Audio Recording/Special Usage
The Concert Hall is equipped with state-of-the-art audio recording equipment with six high-quality, permanently installed microphones and matching pre-amps to capture acoustic stage performances. The equipment includes:
- Schoeps (ORTF mic) - MSTC 74 with MK4 capsules
- 2-Schoeps (Center outside Mics) - CMC6 body with MK2 capsules
- 2-Schoeps (House Room Mics) - CMC6 body with MK8 capsules
- MergingTechnologies Interface with 2 AD/DA cards
Multitrack recording is available with or without mastering services in the Concert Hall only.
Special-use events are limited to the client and pre-designated participants. Public attendance is not allowed. Support personnel and equipment needed will be billed in addition to the facility rental.

Alcohol Charge
Alcohol can be served at the CVPA for non-AISD events. This fee is added to the rental rate when requested and only available for functions outside of normal school hours. Clients are responsible for hiring and contracting alcohol vendors for the event. The vendor is responsible for all licensing, TABC certified labor, and point of sale. No less than one Arlington police officer will be secured by the CVPA when alcohol is served. Additional officers may be secured based on event logistics at the discretion of the building staff. All additional personnel charges are passed on to the client. Alcohol may not be consumed back stage at anytime unless agreed to by contract.

Labor Rates
Costs for labor needed to facilitate an event will be determined by CVPA management and passed on to the client using the fee structure below. All labor must be provided a walk-away break of one hour for every five hours on duty, or a thirty minute break every five hours on duty with a meal provided by the client for each working staff member.

Equipment Rental
An audio console, announcer microphone with lectern, lighting console, video equipment, and display equipment where permanently installed are available at no extra charge. A limited number of chairs, tables, and music stands are also available for clients at no additional cost. All AISD events are given priority usage for facility equipment. Instruments and technical resources listed below are available on a first come, first served basis. CVPA management reserves the right to decline usage of equipment for any reason. Additional AISD equipment required for an event not listed in the rental equipment chart will be billed at a nominal fee determined by the CVPA Director.

The CVPA provides ticketing services and requirements based on facility guidelines and client needs. The chart below details the CVPA ticketing policy as it relates to each event tier.
